Comment: Hi, I checked out the encyclopedia theme. Saw it in action here - www.knoler.eu It's a cleanly designed theme and moreover easy to tweak.
Also, you mentioned facing difficulties with the communication aspect. I use Skype and it is one of easiest and fastest ways for both the user and the client to share updates and feedbacks.

I had a look at the encyclopedia theme, and as it is a fairly simple theme, will be able to get this work done for you, quickly and efficiently.
SEO is already included in the theme, and we can build on that.
